Dentistry 4 Kids (“we,” “our,” or “us”) is committed to protecting the privacy of every individual whose personal information we collect or manage. This Privacy Policy explains how we collect, use, store, and disclose personal information, and describes the tools and third-party services active on our website. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Ontario’s Personal Health Information Protection Act (PHIPA), and any other applicable Canadian privacy legislation.

By using our website, you acknowledge the practices described in this policy.

1. What Information We Collect

1.1 Information You Provide

We may collect personal information you voluntarily submit, including your name, email address, phone number, and any details you provide through appointment requests or contact forms on our website. This information is used solely to respond to your inquiry or fulfill your request.

1.2 Information Collected Automatically

When you visit our website, the tools described in Section 3 automatically collect certain data, including:

  • Pages visited and time spent on each page
  • Browser type, device type, and operating system
  • Geographic location at the city or region level
  • The referring website or search query that brought you to our site
  • Mouse movements, scroll behaviour, and click patterns (session recording)
  • Search queries used to find our website via Google Search

We do not collect patient health records, clinical information, or any protected health information through our website analytics tools. Health information exchanged through our clinic systems is governed separately under PHIPA and is never shared with the tools described in this policy.

2. Cookies and Tracking Technologies

Our website uses cookies — small text files stored on your device — to enable analytics and session tracking. Cookies help us understand how visitors interact with our site so we can improve the experience for current and prospective patients.

Our analytics tools use first- and third-party cookies. You may disable cookies in your browser settings; however, doing so may affect certain website features.

We do not use cookies for cross-site advertising or to track you across unrelated websites.

3. Third-Party Analytics Tools

We use the following third-party tools to understand how our website is used. Each tool processes data under its own privacy terms, linked below. None of these tools have access to patient health information, and all form input fields are configured to be masked from session recording.

3.1 Microsoft Clarity

We partner with Microsoft Clarity to capture how visitors use and interact with our website through behavioural metrics, heatmaps, and session replay. Clarity collects data including pages viewed, scroll depth, click patterns, and engagement signals such as rage clicks and dead clicks. This information helps us identify usability issues and improve our website.

Clarity uses first- and third-party cookies to collect session data. All form input fields on our website are masked, meaning their contents are never captured by Clarity. This data is processed by Microsoft and is subject to the Microsoft Privacy Statement.

By using our website, you agree that we and Microsoft may collect and use data through Microsoft Clarity as described above.

To opt out of Microsoft Clarity data collection, visit: Microsoft Privacy Dashboard. For more information, visit the Microsoft Privacy Statement.

3.2 Google Analytics (GA4)

We use Google Analytics 4 (GA4) to collect aggregated, anonymized data about website traffic and engagement, including pages viewed, session duration, device and browser type, and geographic location at the city or region level. This data is used to understand how visitors use our website and to guide improvements.

GA4 uses cookies to distinguish users and sessions. Data is processed by Google LLC under Google’s data processing terms.

To opt out of Google Analytics tracking, install the Google Analytics Opt-out Browser Add-on. For more information, visit Google’s Privacy & Terms.

3.3 Google Search Console

We use Google Search Console to monitor how our website appears in Google Search results. Search Console provides aggregated data about search queries that led users to our site, page visibility in search results, and technical website health. This data does not include personally identifiable information — it is aggregate, query-level data only.

For more information, visit Google’s Privacy & Terms.

4. How We Use Personal Information

We use the information we collect for the following purposes:

  • To respond to appointment requests, inquiries, and communications
  • To improve the usability, content, and performance of our website
  • To understand how patients and prospective patients find and use our website
  • To comply with applicable laws and professional obligations

We do not sell, rent, or trade personal information to third parties for marketing purposes.

5. Privacy Principles (PIPEDA)

Collection

We collect personal information only for purposes a reasonable person would consider appropriate, and only to the extent necessary to fulfill those purposes.

Accuracy

We make reasonable efforts to ensure that personal information we hold is accurate and complete. Individuals may request corrections to their information in writing.

Storage

Personal information is stored using secure electronic and, where applicable, physical means to prevent unauthorized access, disclosure, or misuse.

Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. Clinical records are retained in accordance with PHIPA requirements and the standards of the Royal College of Dental Surgeons of Ontario.

Disclosure

We do not disclose personal information to employees or third parties unless necessary for the purposes stated in this policy, required by law, or authorized by the individual. Third-party analytics tools (described in Section 3) receive anonymized behavioural data only — they do not receive your name, contact information, or health information.

Access

Individuals have the right to access personal information we hold about them. Requests should be made in writing to our Privacy Officer (see Section 10). Access may be subject to applicable exemptions under PIPEDA or PHIPA.

Consent Withdrawal

You may withdraw your consent to the collection or use of your personal information at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw consent, please contact our Privacy Officer in writing (see Section 10). Note that withdrawal of consent may affect our ability to provide certain services or communications.

6. Health Information and PHIPA

Clinical and health information collected in the course of providing dental care — including treatment records, diagnostic information, and health histories — is protected health information governed by Ontario’s Personal Health Information Protection Act (PHIPA). Such information is collected, used, and disclosed only to provide care, with the consent of the patient, or as otherwise permitted by law.

The website analytics tools described in this policy are not used to collect, process, or store protected health information. Any health information you choose to include in a website contact or appointment form is treated as personal information under PIPEDA and is used only to respond to your request.

7. Children’s Privacy and Parental Consent

Dentistry 4 Kids provides dental care exclusively to children and youth. We recognize that personal information about minors requires additional care and protection.

We do not knowingly collect personal information directly from children through our website. Appointment request forms, contact forms, and other website submissions are intended to be completed by a parent or legal guardian on behalf of their child. By submitting a form on our website, the submitting adult confirms that they are the parent or legal guardian of the child named in the submission and consents to the collection, use, and disclosure of the child’s information as described in this policy.

All clinical health information relating to a minor patient is treated as protected health information under PHIPA. Such records may be accessed by a parent or legal guardian in accordance with PHIPA and the age-related consent provisions of the Health Care Consent Act (Ontario). As a child matures and develops the capacity to make their own health decisions, consent and access rights may shift to the child.

If you believe we have inadvertently collected personal information from a child without appropriate parental consent, please contact our Privacy Officer (see Section 10) and we will promptly take steps to address the matter.

8. Cross-Border Data Transfers

Some of the third-party analytics tools described in Section 3 — including Google Analytics (GA4), Google Search Console, and Microsoft Clarity — process data on servers located outside Canada, including in the United States. By using our website, you acknowledge that your data may be transferred to and processed in jurisdictions outside Canada, where privacy laws may differ from those in Ontario or Canada.

We take steps to ensure that third-party service providers maintain appropriate security and privacy standards consistent with PIPEDA. Each provider’s data processing terms are linked in Section 3.

9. Privacy Breach Notification

In the event of a breach of security safeguards involving personal information under our control, we will assess whether the breach creates a real risk of significant harm to affected individuals. Where such a risk exists, we will:

  • Notify affected individuals as soon as feasible
  • Report the breach to the Office of the Privacy Commissioner of Canada (OPC) as required under PIPEDA
  • Maintain a record of the breach in accordance with our legal obligations

If you have reason to believe that a privacy breach has occurred involving your personal information, please contact our Privacy Officer immediately (see Section 10).
